Planning a Villa Wedding in Bali: The Complete Guide

By adminFebruary 15, 20263 min read

A Bali villa wedding combines the intimacy of a private celebration with the magic of a tropical setting. Over the past five years, we’ve helped arrange over 50 villa weddings across the island, and this guide captures everything we’ve learned.

Why Choose a Villa Wedding?

Hotels and resorts offer wedding packages, but a villa wedding gives you something they can’t: complete privacy and personalisation. The entire property is yours — no other guests, no time restrictions, no cookie-cutter packages. Your wedding planner has free rein to transform the space exactly as you envision it.

The economics work, too. A luxury villa sleeping 20 guests for three nights often costs less than booking 10 hotel rooms for the same period. Add in the private pool, chef, and staff, and the value becomes extraordinary.

Legal Requirements

Indonesia recognises marriages performed under six officially recognised religions. For a legally binding ceremony in Bali, you’ll need:

  • Valid passports with at least 6 months remaining
  • Birth certificates (translated and notarised)
  • Single status declaration from your embassy
  • A religious ceremony conducted by an approved celebrant
  • Two witnesses present at the ceremony

Many couples opt for a legal ceremony in their home country before or after, and have a symbolic celebration in Bali. This simplifies paperwork significantly and gives you complete freedom over the ceremony style.

Planning Timeline

We recommend starting at least 9-12 months before your wedding date. Here’s a typical timeline:

12 months out: Choose your villa, book dates, hire a wedding planner. Peak season dates (June-September, Christmas) should be booked even earlier.

9 months out: Finalise guest list, send save-the-dates, book flights. Start planning decor, flowers, and music with your planner.

6 months out: Arrange legal paperwork if having a binding ceremony. Confirm catering, photographer, videographer, hair and makeup. Plan pre-wedding activities (welcome dinner, spa day, cultural excursion).

3 months out: Final guest confirmations, seating plan, run sheet for the day. Your planner handles vendor coordination from here.

1 month out: Final villa walkthrough (virtual or in person), confirm all logistics, relax — you’re in good hands.

Budget Guide

Villa wedding costs vary enormously depending on scale, but here are typical ranges for a 40-guest celebration:

  • Villa rental (3 nights): $3,000 – $15,000
  • Wedding planner: $2,000 – $5,000
  • Catering and drinks: $3,000 – $8,000
  • Decor and flowers: $2,000 – $10,000
  • Photography and video: $2,000 – $5,000
  • Music/entertainment: $500 – $3,000
  • Hair, makeup, celebrant: $1,000 – $3,000

A beautiful villa wedding in Bali typically costs $15,000 – $40,000 all-in — a fraction of equivalent celebrations in Australia, the UK, or the US.

Our most popular wedding villas book 12-18 months in advance for peak season. If you have a specific date in mind, don’t wait to secure your venue.
